Lisa Gaudette’s Water Cooler Tips: Real-Time Integration

Many Applied Client Network members know and love the weekly email “water cooler tips” created by Lisa Gaudette, of Greylock Insurance Agency in Pittsfield, MA. She kindly offered to share select tips with Connections readers quarterly. In this first article, find her advice for everything related to real-time integration.


To use the IPFS real-time integration, you first need to set up your IPFS credentials in Epic. 

Setting Up Credentials in Real-Time Local Security:

  1. Access “local security” from the drop-down menu to the right of the “real-time” button

  1. Locate Imperial IPFS from the list, highlight the line and click “edit credentials”

  1. Enter your IPFS Username as the User ID. Your Agency code is the password, not your IPFS password. 
  2. You will see a pop up stating that your remote credentials were updated successfully — click “OK”
  3. Click “finish” on the Local Security Products pop up.

Your credentials have been updated and you can now integrate with IPFS through Real-Time.

Launching Real Time:

  1. From the “locate” screen, search for your client.
  2. Highlight the client. 
  3. Select the “real time” button

Real-Time Client Details:

  1. Choose policy(ies) you want to finance.
  2. Under “commands,” change the drop down to “premium finance”
  3. Under “available carrier” choose Imperial IPFS
  4. Click “go”

Real-Time Web Edits:

  1. Premium Amount is required for each policy (if entered in Policy Estimated Premium field, it will pull from Epic)
  2. Ability to add GA, Adjust, Taxes, Fees & NOC
  3. Each policy must be reviewed for required information.
  4. Click “process”

Real-Time Web Edits II:

  1. Any errors will show in red, in the highlighted area. The errors must be corrected before continuing.
  2. The IPFS integration “data check” will open in an internet browser.

IPFS Data Check:

The IPFS Integration Data Check is launched as the last step of each IPFS QuoteLink Integration. This tool ensures correct data is entered on the IPFS Quote.

The first screen you will see is the Associated User Screen.

  • Use the drop down menu to select the agency location that you are quoting.

If all the data passed through the integration is already mapped* and in the correct format, you may not see this screen at all. If there are items that need attention, this screen will be presented.

*Mapping is simply connecting data that converted from Epic so that IPFS can identify it.  An example would be the Policy Type.  We will use Business Auto as an example. Epic carries that over to IPFS using the status code you have configured in Epic (BAUT). IPFS will require you to identify the coverage type from a drop list.  This tells IPFS BAUT = Commercial Auto.  Mapping occurs in the coverage and company sections in IPFS.

Each item that has an orange vertical line and orange exclamation point indicating "form error,” you need to resolve before you can continue.

To resolve the "form errors," click anywhere inside the box with the form error and it will allow you to make corrections.

  1. Once the insured box has been expanded, you will be able to see that the address of the insured is standard.
  2. Click on the drop-down menu and choose one of the options presented.
  3. Once you have chosen an option, click anywhere in the white area of the insured box to collapse the screen and move forward.
  4. Clear any additional "validation required" flags the same way.

In this example, the validation flag is raised because the carrier sent from Epic has not been used vis IPFS integration before and will need to be mapped to the corresponding value on the IPFS side. Once an item (coverage or carrier) has been mapped, it will stay mapped, and users will not be asked to remap that item.

Once all “validation required” flags have been resolved, the continue button will be available and you can continue to the IPFS Quote.

Quote:

Once the quote has been submitted, you are taken to the IPFS Quoting screen.

All functionality on the website will behave the same (Exceptions, Automated, Submissions, etc.)
